Maintenance Requests
The Maintenance Requests screen is used to manage all maintenance requests for a selected job. Each maintenance request is listed on the screen, with the most recent at the top of the list. Each request in the list may include one or more maintenance items.
Maintenance request management refers to the construction issues raised for a house, including requests and related items that require attention.
Procedures
Creating A Maintenance Request
- Click New. The General tab of the Maintenance Request dialog will be displayed.
- Enter the details.
- Select the Items tab.
- Enter the details.
- Click OK. The dialog will close and a new maintenance request will be created.
Creating An Inspection Appointment On The Maintenance Request Dialog
- Click New. The General tab of the Maintenance Request dialog will be displayed.
- Click the Current Appointment popup dialog button. The New Appointment confirmation prompt will appear.
- Click Yes to create a new appointment. The New Diary dialog will be displayed.
- Enter the details.
- Click OK. The dialog will close and the appointment details will be displayed on the General tab of the Maintenance Request dialog.
- Enter the details.
- Click OK. The dialog will close.
Maintenance Request Dialog - General Tab
The General tab is used to enter basic information about a maintenance request, including supervising staff members, when the request was raised, inspection details, and costs associated with the request.
General Group
Field | Description |
---|---|
Internal ID Number | Internally generated identification number. This field cannot be edited. |
Administrator | Administrator allocated to the maintenance request. Click the Administrator popup button to select. |
Manager | Manager allocated to the maintenance request. Click the Manager popup button to select. |
Supervisor | Supervisor allocated to the maintenance request. Click the Supervisor popup button to select. |
Warranty Type | Type of warranty associated with the maintenance request. Click the Warranty Type popup button to select. |
Work Flow Stage Group
Field | Description |
---|---|
Stage | Current work flow stage of the request item, based on the selections and information entered. This field cannot be edited. Example Awaiting Reply, Awaiting Sign-off, etc. |
Raised Group
Field | Description |
---|---|
Raised | Date the maintenance request was raised. |
Raised By | Person or organisation that raised the maintenance request. Click the Raised By popup button to select. |
Method | Method by which the maintenance request was raised. Click the Method popup button to select. Example Letter, phone, email, in person, etc. |
Reply Group
Field | Description |

Required? | Does the person or organisation require a response to the maintenance request?

Reply | Date the reply was sent. |
Inspection Group
Field | Description |

Required? | Is an inspection of the maintenance performed required?

First Appointment | Date of the first appointment. This field cannot be edited. This field will always display the date of the first appointment booked against the request. If subsequent appointments are booked, the most recent date will be displayed in the Current Appointment field. |
Appointment Count | Total number of appointments created for the request. This field cannot be edited. |
Current Appointment | Date of the current appointment. Click the Current Appointment popup button to create a new appointment. The Diary Entry dialog will be displayed |
Inspector | Inspector allocated to the current inspection diary entry. This field cannot be edited. |
Complete | Date the inspection was completed. This field cannot be edited. The Complete date can be entered in the Diary Entry dialog for the current appointment. |
Start Group
Field | Description |

Required? | Is a start date required for the maintenance request?

Complete Group
Field | Description |

Percentage | Percentage of the request activity complete. |
Weeks At This % | Number of weeks at the above percentage. |
Manual Forecast | Estimated date of completion. |
Actual | Actual date of completion. |
Signed Off | Date the request was signed off. |
Cost Group
Field | Description |
---|---|
Forecast Total | Expected cost to complete the request requirements. |
Enterprise | Expected cost to be outlaid by the company. |
Charge Back | Amount expected to be claimed back from the original supplier/trade. |
Total | Calculated total of the Enterprise and Charge Back values. |
Variance (From Forecast) | Calculation of the difference between the Forecast Total and the Total. |
Notes Group
Enter notes about the maintenance request, as required.
Maintenance Request Dialog - Items Tab
The Items tab is used to create multiple maintenance items, if required, to fulfil a single maintenance request.
New maintenance items can be entered by clicking the New toolbar icon.

Maintenance Items List
Column | Description |
---|---|
Primary | The primary maintenance item. The first item created will automatically be the primary item. |
Ordered | Date the item was ordered. |
Supplier | Supplier of the maintenance item. |
Forecast | Forecast cost of the maintenance item. |
EPrise | Enterprise. Amount expected to be outlaid by the enterprise. |
CBack | Charge Back. Amount expected to be claimed back from the original supplier/trade. |
Total | Calculated total of the Enterprise and Charge Back values. |
Variance | Calculation of the difference between the Forecast Total and the Total. |
Signed Off | Date the request work was signed off. |
Notes | Enter notes about the maintenance item. |
Procedures
Creating A Maintenance Item
On the Items tab of the Maintenance Request dialog:
- Click the New toolbar icon. The Maintenance Item dialog will be displayed.
- Enter the maintenance item details.
- Click OK. The dialog will close and a new maintenance request item will be added to the Maintenance Items list.
Multiple maintenance items can be entered.
Generating and Emailing Maintenance Work Orders
Work Orders can be Previewed, Printed, or Emailed for a Request Item.
The reports are accessed by selecting the Print or Preview icons on the Maintenance Request dialog.
Select the Report required, and click Email, Preview or Print.
A PDF will be generated an, depending on your selection, be attached to an Framework Email, displayed, or printed.

The Inspections tab displays the Inspections and Items booked for the Request.
