Working with structured inspections

Structured inspections use a template to ensure that the same operations are carried out each time.

  • They can be broken down into groups of items.

  • You can specify what type of response is valid in the template.

  • You can create your own responses.

  • You can specify that notes are mandatory. This means that the item will not be deemed as reviewed until notes have been made against it. This can apply to the item itself or against a specific response that is made.

  • You can specify that photos are mandatory. This means that the item will not be deemed as reviewed until photos have been taken against it. This can apply to the item itself or against a specific response that is made.

The screen to the left shows a sample structured inspection.

  1. Indicates this item has not been viewed.

  2. Shows the workflow status of the item.

  3. Shows whether there is any information to be sent to the web portal. Green indicates that the web portal has the same data as the mobile device. If it is amber, then this indicates that not all data has been sent to the portal.

When you select the item, you will see the information as it has been entered in the inspection template.

  1. The response group that the inspector can select from (Mandatory). The responses are defined at the item level, and each item can have a different response type.

  2. The status of the item:

    1. Pending Review - No answer supplied.

    2. Satisfactory - No further action required.

    3. Needs Attention - Action will be required.

      The status is determined by the response that you select.

  3. Notes. Whilst the image shows that this is required this can vary by item and response. You will see (Required) if it is mandatory.

  4. At least one photo. Whilst the image shows that at least one photo is required this can vary by item and response. You will see (Required) if it is mandatory.

  5. When you click Next, you will be shown the next item. You will not be able to proceed to the next item if you have not supplied the items marked as Required.

When you have supplied all the required information select Next.

On the last item in the inspection instead of Next, there is a Done button.

When you press Done, you will be taken to the inspections page where you will see all of the items that you have just worked on.

If you need to add additional items to the inspection, you press the + icon, and the new item screen will be displayed.


  1. You must assign the item to one of the inspections groups.

  2. You must select a response.

When you are satisfied with the inspection press the Actions icon and select Submit Inspection.

Dependent on the setting for the inspection, you may have an additional Action to Sign Off Inspection.

On the template, there is a setting Sign Off Inspection on Submission?

If this is set, the inspection will be set to Complete as soon as you submit it.
