Working with standard inspections

Key Points

  • An inspector can have up to 100 projects on their device at any one time. Each project can contain multiple different types of inspection.

  • An inspector has to manually add projects to their device.

  • When an inspector downloads a project, they will see all inspections that have not been archived.

Adding a project

From release 2020.3, projects with inspections allocated to the inspector do not automatically download to the inspector's device. They have to add the project manually.

  • Adding a project "subscribes" the user to that project.

  • Whilst when you delete the app, all projects will be removed, anything "subscribed to" will return if it changes in any way.

  • To remove a subscription to a project, remove it.

From the Projects screen.

  1. Press the + icon.

  1. Enter part of the required projects name.

  1. When prompted press OK. The project will then download with all of the inspections attached to it (except those that have been archived.).

  4. Shows the project is in the Current view.

When you press on the Project, you will see the Inspections screen.

  1. This indicates an item that you have not viewed on the device.

  2. The inspections name and creation date information.

  3. The workflow status of the inspections.

  4. The number of items that have been added to the inspection.

  5. Information on the inspection.

  6. The synchronisation status of the inspection. Green indicates that data on the device matches that on the web portal.

 


Performing an inspection

When you select an inspection, you will see all entries that have been made.

  1. The add item icon touching this will start adding an item to the inspection.

  2. The add new item icon (See next step).

When you press the add item icon, you will be presented with 4 options.

  1. Take a photo that will be attached to the new item. You can add up to 10 photos per item.

  2. Select a previously taken picture from your camera roll.

  3. Create an item without any photo being attached to it.

If you take a photo or select one from your camera roll, you can then annotate it.

  1. You can draw any helpful markings on the photo.

  2. Pressing this clears any annotation that you have made.

  3. Pressing this rotates the image.

  4. Pressing this will delete the current photo.

  5. Pressing this will allow you to take another picture. You can have up to 10 photos against an item.

  6. & 7. Pressing Done will take you to the Edit Item screen.

You should first select the location of the item that you are entering.

  1. Touch in the Location area.

  2. Select the location.

  3. Press Done.

  1. Optionally you can enter some notes on the location of the item.

  2. Optionally you can define orientation information.

  3. When you touch the orientation box, you will be able to choose the orientation.

  4. Press Done when you have made your selection.

  1. Enter a description for the item.

  2. Press Save.

When the item is added you can see:

  1. The location. Items will be grouped by location.

  2. The workflow status of the item.

  3. Whether the item has been synchronised with the web portal. Amber shows that it hasn't. Green shows that it has. Information will be synchronised automatically though you can do a pull down on the screen to force a synchronisation of the data.


Submitting an inspection

When you have finished adding items, you can submit the inspection.

  1. Press the Inspection Actions icon.

There are two options available.

  1. Generate PDF Report allows you to email a copy of the inspection report.

  2. Submit Inspection moves the items to Pending Review.

When you first email from the app, you must allow the app to access your contacts.

Either

  1. Manually enter an email address.

    or

  2. Select one of your contacts.
    then

  3. Press Done.

When you have added all the email addresses that you want press Send.

To submit the inspection;

  1. Press the Inspection Actions icon.

  2. Select Submit Inspection.

  1. Optionally you can enter some notes.

  2. Make your signature.

  3. Press Submit.

Review the message.

  1. Press Submit.

The status of the items will be moved to Pending Review.


Working on an inspection

The workflow of an inspection can be controlled on the web portal or the mobile device.

You can perform approval actions in bulk.

  1. Press the Inspection Actions icon.

  2. Select Approve or Reject.

If you want to do items individually touch the in the Inspection List.

  1. Press the Item Actions icon.

  1. Choose the relevant action.

When all items have been reviewed, you can perform the next bulk action Start Work.


  1. Press the Inspection Actions icon.

  2. Press Start Work.


You can do the actions on individual items as required.

When all items have been marked as Start Work or Rejected, you can do the next bulk action Finish Work or work on the individual items.

The final bulk action that you can perform is to Sign Off Inspection.

No further work will be possible after this. The inspection and items will be marked as Complete.

 

 

 

Hiding a Project

If required, you can move a project from the Current view to the Hidden view. This will allow you to focus on your active projects.

  1. Swipe left on the project.

  2. Select Hide.

To Unhide a project;

  1. Swipe left on the Project.

  2. Select Unhide.
