Creating Logistics Checklists
- There are four main components to a checklist in Framework. These are Responses, ResponseTemplates, Items and Templates.
- The instructions below will cover these components in more detail and outline how they are configure to create a final checklist.
Response
- The best way to think of a Response is as a single answer to a question. For instance, the question "Is this job in Construction Stage?" could yield two or more responses including Yes and No. Yes and No are each a Response.
- Follow the instructions below to create Responses
- Open Framework Administration (Program)
- Navigate to Checklist>Response
- On the Left hand side of the screen under Groups, you can set up a folder structure to organise Responses. This doesn't affect their behaviour and is purely for organisational purposes. Create a new group or sub group by clicking an existing group under Groups and then clicking New.
- You will be asked if you want to create the new group at the same level as the one currently selected or if you wish to create a sub-group. Select the appropriate option.
- Give the Group a Name and Reference and press OK
- Now that you have created a group, you can add a response to it. Select the relevant group, click into the right hand side of the screen under Checklist Responses and then click New and you will be presented with the Checklist Response dialog.
- Set the Response Status. These will be dependent on the context of your specific checklist but are important when a response determines whether a job will progress or not pending the response selected. Press OK
Set a Name and a Reference for the Response.
Response Template
- A Response Template is a way to 'group' Responses. For instance if the question being asked had three possible Responses that were Satisfactory, Unsatisfactory and N/A, these responses could be grouped together in a Response Template so that they don't need to be added individually every time, as they will almost always stay together.
- Follow the instructions below to create Response Templates.
- Navigate to Checklist>Response Tpl
- The folder structure on the left hand side of this screen behaves the same way as it does on the Response screen, please see steps 1-5 above under Response for setting this up.
- Once the folders are organised, select the relevant group and click into the right hand side of the screen under Response Templates to make this area active and then click New, you will be shown the Response Template dialog.
- Set a Name and a Reference for the Response Template.
- Click on the Responses tab, and click New.
Select the applicable Responses and then click OK and OK again, you now have a response template.
Item
- Items should be thought of as the 'question' with a Response Template being the list of possible answers to the question. For example, "Has the client been contacted in the past fortnight" would be the Item, with the possible Responses of Yes or No forming the Response Template.
- Follow the instructions below to create Response Templates.
- Navigate to Checklist>Item
- The folder structure on the left hand side of this screen behaves the same way as it does on the Response screen, please see steps 1-5 above under Response for setting this up.
- Once the folders are organised, select the relevant group and click into the right hand side of the screen under Checklist Items to make this area active and then click New, you will be shown the Checklist item dialog.
- Set a Name and Reference for the Item.
- Select the Response Template that will be applied to this Item.
- Set Allow Multi Responses to Yes or No depending on whether you want to allow this.
- Set what you wish to happen if a failure Response is selected, whether a Response is a failure or not was determined during the creation of that response.
- Click OK.
Template
- A Template is a collection of Items and is the basis for a final Checklist.
- Follow the instructions below to create Response Templates.
- Navigate to Checklist>Template
- The folder structure on the left hand side of this screen behaves the same way as it does on the Response screen, please see steps 1-5 above under Response for setting this up.
- Once the folders are organised, select the relevant group and click into the right hand side of the screen under Checklist Templates to make this area active and then click New, you will be shown the Checklist Template dialog.
- Set a Name and Reference for the Checklist Template.
- Items are Grouped within the Checklist Template and a group must be created before adding items against it.
- Click into the Groups section of the dialog to make this area active and then click New.
- Set a Name and Reference for the Checklist Template.
- Select the relevant Group and click into the Items section of the dialog to make this area active and then click New.
- Select the applicable Checklist Items from the Select Checklist Item dialog and press OK.
- Once you have added all the necessary checklist items and you are happy with the Checklist Template, change the status to Final , press OK
Important: Once a checklist template has had the status changed to Final, it cannot be edited or undone. A new one must be created if any changes are required.
