Creating a New Client

A new client is entered into Framework ECM via the New Client Wizard. The wizard is used to capture key information about the new client including job, land, sale, marketing, and file information.

A new client is an entity that is entered in to Framework ECM. A job does not have to be associated to the client, although job information may be entered here. Land must be entered for a new client.

Creating a new client from the Production Management module requires information to be entered across all six tabs. Creating a client from the Client & Contact Management module, users will not be able to enter information on the Job and Sale tabs.

The Client tab is used to enter personal information about the client, including their name, contact details, and current address.

After creating a new client, this information can be modified on the Client Overview and Client Contacts screens.

In Framework ECM v7.1 Middle Name has been added to the information that can be collected for the Contact.

Client Group

Field

Description

Number

Internally generated number. This can be manually changed from the default to any free text value.

Full Name

Full name of the client. Click the Full Name copy button to copy the information entered on the Simple tab or manually enter a full name.

Salutation

Salutation of the client. Click the Salutation copy button to copy the information entered on the Simple tab or manually enter a salutation.

Report/Search Name

Surname(s) of the client. Click the Report/Search Name copy button to copy the information entered on the Simple tab or manually enter a report/search name.

Client Type

Type of client. Click the Client Type popup button to select. Standard selections include: 

  • Personal
  • Corporate

Priority

Priority assigned to the client. Click the Priority popup button to select. Standard selections include: 

  • Normal
  • High

Address Group

Field

Description

Custom Address Format?

Is the address for the client a custom address? 

Example

International address.
  • No (default): The address is a standard Australian address (street or PO Box).
  • Yes: The address is a custom address. The Custom field must be entered.
When a custom address is selected, the following fields are replaced with the Custom field:
- Street Number
- Street Name
- Suburb
- State
- Postcode
- Map Ref

Street Number

Street number for the correspondence address.

Street Name

Street name for the correspondence address.

If the address is a PO Box, enter the details here and leave the Street Number blank.
e.g., PO Box 12345

Suburb

Australian suburb for the correspondence address. Click the Suburb popup button to select.

Once selected, the State and Postcode fields will be automatically populated.

State

Australian state for the correspondence address. This will be automatically populated once the suburb has been selected. This field is locked and cannot be edited.

Postcode/Map Ref.

Postcode: Australian postcode for the correspondence address. This will be automatically populated once the suburb has been selected. This field is locked and cannot be edited.

Map Ref.: Map reference for the correspondence address.

Specification Group

Description

Enterprise

Enterprise to which the client belongs. This field is locked and cannot be edited.

Division

Division to which the client belongs. This field is locked and cannot be edited.

Region

Region to which the client belongs. This field is locked and cannot be edited.

Region/Division

Region/division to which the client belongs. This field is locked and cannot be edited.

Accounts Company

Accounts company allocated to the client file. This refers to the company to which funds are paid. Click the Accounts Company popup button to select.

Owner User

Framework user who owns the client. Click the Owner User popup button to select.

Example

Let's say there are two Framework users who do the same job with the same security permission levels. The owner user selected will prevent other users of similar security levels from modifying the client details. Framework users with higher security levels will still be able to modify the client details.

Stock Holding Client?

Is the client a stock holding client only? 

  • No (default): The client is not a stock holding client.
  • Yes: The client is a stock holding client.

Simple/Advanced Tabs

Simple Tab

Allows users to create one or two client contacts when setting up the initial job. By default, the contact on the left will be set as the primary contact.

Advanced Tab

Allows users to create more than two contacts when creating the initial job.

Contacts can be created at any time using the Client Contacts screen.

The following buttons are available on the Advanced tab: 

Button

Click to set the selected contact as the primary contact. The Primary column details will be updated.

Click to create a new contact. The Select Entity dialog will be displayed.

Click to edit the selected contact from the Contacts list.

Click to delete the selected contact from the Contacts list.

Click to import client details that have been captured in Framework Sales Advice Management or Framework Client Relationship Management. The Select Client Import Source dialog will be displayed.

New Client Dialog - Marketing Tab

The Marketing tab is used to record information about the sale, including sales appointments, referrals, and purchase preferences.

After creating a new client, this information can be modified on the Sales & Marketing screen.


Sales Lead Group

Description

Captured Date

Date the sales lead was captured.

Captured Time

Time the sales lead was captured.

Captured By/Operator

Salesperson who captured the sales lead. Click the Captured By/Operator popup button to select.

Operator Notes

Free text area for notes regarding the sales lead.

Sales Introduction Group

Field

Description

First Appointment

Date of the first sales introduction appointment. This field is locked and cannot be edited.

Appointment Count

Number of appointments created. This field is locked and cannot be edited.

Current Appointment

Date of the current sales introduction appointment. Click the Current Appointment popup button to create a sales appointment.

Consultant

Consultant allocated to the current appointment. This field is locked and cannot be edited.

Referral Group

Description

Promotion

Promotion associated with the sales lead. Click the Promotion popup button to select.

Method

Referral method by which the sales lead was created. Click the Method popup button to select.

Example

Display Centre, Television, Radio, etc.

Company

Third party referral company by which the sales lead was created. Click the Company popup button to select.

Contact/Context

Third party referral company contact by which the sales lead was created. Click the Contact/Context popup button to select.

Referral Source Notes

Free text area for notes regarding the referral.

Preferred Location Group

Field

Description

Preferred Suburb

Preferred suburb in which the client would like to live. Click the Preferred Suburb popup button to select.

Preferred Estate

Preferred estate in which the client would like to live. Click the Preferred Estate popup button to select.

Land Selected?

Does the client have land on which to build?

  • No (default): The client does not have any land on which to build.
  • Yes: The client has land on which to build.

Anticipated Sale Group

Field

Description

House Price

Anticipated house price budget.

Land Price

Anticipated land price budget.

Total Price

Anticipated house and land price budget.

Deposit Required

Anticipated deposit required.

Current Client Funds

Current funds the client has available for the purchase of a house or land.

New Client Dialog - File Tab

The File tab is used to enter details about the file. The file is the land that the job (or house) is built on.

After creating a new client, this information can be modified on the Client Files and Jobs screen.


File Group

Number

Number of the file. Internally generated number. This can be manually entered by clicking theEnter File Number button.

Created

Date the file was created. The default is today's date.

Physical File?

Is there a physical file associated with the file?

Example

A filing cabinet that stores a physical folder containing documents associated with the file.
  • No (default): A physical folder associated with the file is not available.
  • Yes: A physical folder associated with the file is available.

Unit Development?

Is the job a unit development? 

  • No (default): The development is not a unit.
  • Yes: The development is a unit.

Dwelling Count

Number of dwellings contained in the file.

File Notes

Free text area for notes regarding the file.

New Client Dialog - Land Tab

The Land tab is used to enter or select land for the new job.

When a job has a Sale Type of Order, details of the client's land must be entered directly into the right side of the dialog. When the Sale Type is notOrder (e.g., Display, House & Land, Land Sale Only, Spec Homes, etc.), then available land must be assigned to the job using the Select Land popup button.

After creating a new client, this information can be modified on the Land Overview screen.


File Sale Type Group

Description

Sale Type

Sale type allocated to the client file. Click the Sale Type popup button to select.

Example

Display, House & Land, Spec, Order, etc.

Select Land

Land selection option.

If the sale type does not require enterprise land, then this option is not applicable and the field is locked. If the sale type requires enterprise land, click the Select Land popup button to select.

Land Address Group

Field

Description

Lot Number

Lot number for the land on which the house will be built.

Street Number

Street number for the land on which the house will be built.

Street Name

Street name for the land on which the house will be built.

If the client does not yet have land available, enter TBA (To Be Announced) into this field.

Suburb

Australian suburb for the land address. Click the Suburb popup button to select.

Once selected, the State and Postcode fields will be automatically populated.

State

Australian state for the land address. This will be automatically populated once the suburb has been selected. This field is locked and cannot be edited.

Postcode/Map Ref.

Postcode: Postcode for the land address. This will be automatically populated once the suburb has been selected. This field is locked and cannot be edited.

Map Ref.: Map reference for the land address.

Accounts Company

Team

Area/Frontage

Area: Size of the land (m2) on which the house will be built.

Frontage: Street frontage of the land (m2) on which the house will be built.

Easement?

Does the land include an easement? 

  • No (default): The land does not include an easement.
  • Yes: The land includes an easement.

Estate Group

Description

Name

Name of the estate on which the land is located. Click the Name popup button to select.

Stage

Stage of the estate on which is the land is located. Click the Stage popup button to select.

Example

Stage 1, Stage 2, Stage 3, etc.

Municipality Group

Field

Description

Council

Name of the council on which the land is located. Click the Council popup button to select.

Contact Person

Council contact for the land. Click the Contact Person popup button to select.

Council Notes

Free text area for notes regarding the council.

Availability Group

Field

Description

Title Office Release

Date the title office released the land for sale.

Available for Sale?

Is the land available for sale? 

  • No (default): The land is not available for sale.
  • Yes: The land is available for sale.

Settlement Group

Manual Forecast
/Actual

Manual Forecast: Date when the client is scheduled to settle on the land.

Actual: Date the client settled on the land.

New Client Dialog - Job Tab

The Job tab is used to enter information specific to the client's job, including the house package and the job priority.

Product information about the job can either be customised or predetermined using a standard house package.

After creating a new client, this information can be modified on the Job Overview screen.


General Group

Description

Job Number

Number of the job. Internally generated number. This can be manually entered by clicking theEnter Job Number button.

Job Type

Type of job being constructed. Click the Job Type popup button to select.

Example: Englobo Land Job, Estate Job, Estate Stage Job, Single Lot - Land Only Job, Single Lot - Land & Building(s).

Job Name/Title

Name for the job, if it is to be identifiable by something other than the address.

Job Description

Description of the job.

Reference (Client Job #)

External system client job number reference.

Reference (Client PO #)

External system client purchase order number reference.

Specification Group

Description

Sale Type

Sale type for the job. Click the Sale Type popup button to select.

Example

Display, House & Land, Spec Home, etc.

Administration Team

Administration team allocated to the job. Click the Administration Team popup button to select.

Construction Team

Construction team allocated to the job. Click the Construction Team popup button to select.

Context Identification

An extra identifier, if required. Context identifiers allows another level of grouping within a region/division. Click the Context Identifier popup button to select.

Context identifiers can be entered via the Static Data screen in the Administration module (see Static Data).

Tranche

Tranche to which the job belongs. A tranche is a selection of jobs within a construction group. Click the Tranche popup button to select.

Example

Let's say an estate stage has 90 houses to build. The houses may be built in three (3) tranches, each comprising 30 jobs each.

Priority

Priority assigned to the job. Click the Priority popup button to select. Standard selections include: 

  • Normal
  • High

House Package Group

Description

Package

House package allocated to the job. Click the Package popup button to select.

If a house package is selected, all known House Package group fields (i.e., from Promotion through to Elevation) will be automatically populated. Any changes to the fields will result in the Package field displaying [Custom House Package].

Promotion

Promotion allocated to the job. Click the Promotion popup button to select.

Product

Product allocated to the job. Click the Product popup button to select.

Class

House class allocated to the job. Click the Class popup button to select.

Type

House type allocated to the job. Click the Type popup button to select.

Facade

Facade allocated to the job. Click the Facade popup button to select.

Series

House series allocated to the job. Click the Series popup button to select.

Siting

House siting allocated to the job. Click the Siting popup button to select.

Elevation

House elevation allocated to the job. Click the Elevation popup button to select.

House Pricing Group

Base house price.

VPB Version

Variation price book allocated to the job. Click the VPB Version popup button to select.

VPB Area

Variation price book area allocated to the job. Click the VPB Area popup button to select.

Inclusions Template

Inclusions template linked to the job. Click the Inclusions Template popup button to select.

Baseline Admin Complete

Baseline forecast date. This date forecasts when the job will be ready to go to site.

Contract Group

Contract Number

Number of the contract.

If this is left blank, the contract number will be populated by the job number suffixed with .01.

Custom GST?/Rate

Custom GST?:

Is the GST rate a customised value?

  • Yes: The GST rate varies from the rate set in the system preferences. The Ratefield is unlocked for editing.
  • No: The GST rate remains as the rate set in the system preferences. The Ratefield remains locked.

Rate:

Customised GST percentage value.

Amount (ex GST)

Contract value excluding GST.

Amount (GST)

GST value of the contract. The amount is calculated from either the Amount (ex GST) orAmount (inc GST) values, based on the Rate selection.

Amount (inc GST)

Contract value including GST.

Work Flow Group

Sales (Pre Admin) Comp.

Forecast: Forecast completion date of the sales stage.

Actual: Actual completion date of the sales stage.

Admin Complete

Forecast: Forecast completion date of the administration (pre-site) stage.

Job PKID

Primary key ID for the job that is used internally for references to the database. This field is locked and cannot be edited.

BOQ Reference

Bill Of Quantities (BOQ) reference in an estimating system for the job. Click theBOQ Reference copy button to copy the Job Number field or manually enter a BOQ reference.

Accounts Reference

Reference to this job from a third party software package. Click the Accounts Reference copy button to copy the Job Number field or manually enter an accounts reference.

Linked Files Group

Description

Custom Folder?

Will the linked files be located in a custom folder? 

  • No (default): The linked files will be located in the default folder specified in theFolder Name field.
  • Yes: The linked files will be located in a custom folder. The Folder Name field must be selected.

Folder Name

Location of the job linked files. Click the Folder Name popup button to select.

Free text area for notes regarding the job.

The Sale tab is used to enter information specific to the sale, including salesperson information and the initial deposit details.

Tip: After creating a new client, this information can be modified on the Pre-Administration Overview and Building Contract Deposit screens.
