CTA colouring of zero "Missing Compliance

Previously when viewing the compliance of a person or organisation it was coloured Orange if it was zero. This was confusing as it does not require any attention;


Now if it is zero there is no highlighting.

Connection Request Tile Added to Organisation Perspective

When you are in the Organisation perspective there is a new tile for Connection requests. To facilitate this an additional row of buttons has been added and the buttons have been restructured.

Health and Safety Environment Quality Compliance (HSEQ) check

A new type of task, Perform HSEQ Observation,  has been added. This task allows the portal licensee's staff to perform some detailed checks on organisations who are working on their sites.

This task can only be added via a project in the tasks section.



The task is broken down into several sections;

  1. Recording who was present.

  2. Recording whether there were any unregistered staff onsite.

  3. Ask a set of questions of the staff who were present.

  4. Record the minutes of the meeting (E.G. a Toolbox Talk)

Creating the questions

The questions asked in a HSEQ observation uses an induction. There is now a new option for inductions, Allow Multiple Correct Answers? as there is not a specific correct answer to any of the questions.

An example is shown below. First, you need to create a Group

You then add questions to the Group by clicking on the Group link;

When you click on the Add a new item link you first enter the title of the item

Enter the title for the item

When you click on the link to the question the following screen is displayed;

You then add the question and answers.


All answers should be set to correct.

When you have added all the required questions go back to the main induction screen by clicking on the link indicated below;



Then click on the Publish Draft button and then Publish Draft

You will then see the following message;

Adding a HSEQ Observation

You add HSEQ Observation tasks in the project screen of the project where you are doing the observation. There are two new buttons in the Tasks accordion;



The Record Compliance Check just allows you to do a standard compliance check.

When you click on the Perform HSEQ Observation button the following screen is displayed;

 

  1. The Task Class / Task Type are set automatically and cannot be changed.

  2. Enter the Organisation that the observation is being performed on.

  3. Choose the Question Group that you want to use for the observation.

  4. Complete the title for the observation.

  5. Complete the description for the observation.

  6. Set the person who the observation is assigned to.

  7. Click on Save

When you click on Save you will then be shown the new HSEQ Observation task screen.

Performing the HSEQ Observation

The HSEQ task is broken down into 3 main areas;

Attendees

The Attendees section is used to record all the organisation's staff who were present. It will show all the registered staff. When you click on the Manage Attendees button the following screen is displayed;

You click in the boxes of all registered staff. You can record the names and email addresses of any staff who were not registered in the box below.

Questions

When you click on the Manage Questions you can then supply the answers to the questions.

Record Minutes of Meeting

If the person performing the observation has a health and safety discussion with the attendees the minutes can be recorded. When you click on the Add Topic button you can then record the details of the topics discussed.

 

You can record as many topics as required

If required you can raise Subtask's against the Observation task


 

Remember the last perspective when the user that registered the organisation logs in

Previously when the user who had registered an organisation for Safety logged in they went into the users own Perspective. This has now been changed and it will log in the perspective that the user was in when they last logged out of the system. So if they were working on the organisation last that will be the perspective they see first when they log in next.

They can change their Perspective to that of the person.

 

Safety - New incident class \ types

When creating incidents there is a new class available

Environmental

When selected there are 3 available types

  • Air pollution.

  • Ground pollution.

  • Waterway pollution.

Email notification when a compliance item is rejected

If a compliance item is rejected by a Safety Administrator the person will be notified via email.

When the recipient clicks on the Update Compliance link they will be taken to the Safety portal to the Compliance screen.

Renew link in Compliance List Page

Some infrequent Safety users have been using the Other Compliance Type option on the Compliance list page to deal with expired records, i.e. instead of clicking on the expired record and then selecting the Renew button, they would create a new record for the same compliance type. This would end up always including the expired record in the Missing Compliance count.

There is now a Renew button on a compliance item that has expired

Additional Compliance Requirements

Against the Document Class, there is a new type Calibration record;



Against the HighRisk Work Licence Class, there is a new type High risk work licence.

 

Upload sizes for attachments have been increased

Previously there were size restrictions when adding attachments. The allowable size restrictions have been increased. The new size restrictions are as follows.

Single image: 0.5MB --> 2MB

Single file: 4MB --> 50MB

Multiple files: 10MB --> 50MB, not more than 4 files at the same time.


CTA Counts for compliance validation to be for organisations and staff only

  • Total CTA in the administrator bulletin email is the total for all contacts. This has been changed to just be organisations.

  • The compliance validation counts FOR THE LICENSEE includes vendors/subcontractors and licensee staff only - basically one level down, i.e. not including vendor staff.

  • Similarly, the compliance validation list FOR THE LICENSEE follows the same logic, to be in sync with the counts.

  • The organisation bulletin includes the compliance validation count, and also follow the same logic as above.

  • Admin counts/bulletins/lists remain the same, i.e. they include everyone: licensee staff, licensee vendors, vendors' staff, vendors' subcontractors (and their staff) etc, and all safety users (for the licensee) who are not staff/vendors of anyone.
