Personal Follow Up
The Personal Follow Up screen lists all incomplete follow up items for which the current user is responsible. The items on this list are not restricted to the currently selected job, instead listing all follow up items for all jobs the user owns or has responsibility for. Personal follow up items will remain on the list until completed.
Unlike other lists in Framework ECM, the oldest item is placed on the top of the list to encourage quick completion of personal follow up items.
After the completion date and time has been entered for a personal follow up, it is automatically removed from this list. However, details can still be viewed on the Follow Up Overview screen for the job for which it was originally created.
As the Personal Follow Up screen operates independently of the currently selected job, any listed job may be selected through the Personal Follow Up screen should further investigation of a job's information be required.
Procedures
Selecting A Job
A job that has a personal follow up can be selected through the Personal Follow Up screen, making it easy to quickly open a job with issues to be followed up by the individual user.
From the Personal Follow Up list, select a personal follow up item.
Click Select. The current job will change to be the client relevant to the follow up item. The context bar will be updated.
Completing A Personal Follow Up Item
When a personal follow up is completed, it is physically removed from the Personal Follow Up screen. Details of the completed follow up item for the job can be viewed on the Follow Up Overview screen.
From the Personal Follow Up list, select a personal follow up.
Click Complete to complete the item. The item will be removed from the Personal Follow Up list.
Creating A Personal Follow Up Item
A new personal follow up is added for a selected job. However, all personal follow up items for the user are listed together.
Click New. The Follow Up dialog will be displayed.
Enter the details.
Click OK. The dialog will close and a new follow up will be created.
Follow Up Due
The Follow Up Due dialog forces a check of follow up items that have been set that have now become due. The dialog will appear automatically when a follow up is due, but can be re-instated after being closed by using the Follow Up Due screen.
If no follow up is due, this dialog will not be displayed.
Procedures
Delaying A Follow Up Due Item
From the Follow Up list, select a follow up item.
Select the amount of time until the follow up item is required to be displayed again.
Click Snooze. The follow up item will be delayed for the amount of time specified.
Modifying A Follow Up Item
From the Follow Up list, select a follow up item.
Click Edit. The Follow Up dialog will be displayed.
Edit the details, as required.
Click OK. The Follow Up dialog will close.
Selecting A Client For A Follow Up Due Item
From the Follow Up list, select a follow up item.
Click Select Client. The current job will change to be the client relevant to the follow up item. The context bar will be updated.
Completing A Follow Up Due Item
From the Follow Up list, select a follow up item.
Click Complete. The follow up item will automatically have the current date and time entered as the Completion date and time and the item will disappear from the Follow Up Due dialog.
Completing All Follow Up Due Items
From the Follow Up list, select a follow up item.
Click Complete All. The Complete All Follow Up confirmation prompt will appear.
Click Yes to complete all items. The follow up items will automatically have the current date and time entered as the Completion date and time and all of the items will disappear from the Follow Up Due dialog.
Click Close. The dialog will close.
Closing A Follow Up Due Item
From the Follow Up list, select a follow up item.
Click Close. The Follow Up dialog will close.
