Overview

This article explains what to do if you are invited to register for Onsite Safety.

Invitation

If you are working with a builder using Onsite Safety, you may be invited to register your company. You will receive an email similar to the one below.

When you receive an invitation to register and click on the link, you will be taken to the Account Registration page.

The first thing you need to do is select the type of subcontractor you are.

If you have not already done so, you will be asked to accept the organisation's Commitment to Safety policies.

When these have been accepted, there are 5 different areas for you to complete.

Register

On this screen, you will enter your details.

Business Profile

On this screen, you enter the details of the business that you are registering.

Invite Contacts

On this screen, you enter all your staff working with the Onsite Safety Licensee (The organisation you are being subcontracted by).

  1. Information on who you are to invite.

  2. Automatically ticked to indicate the person is an employed member of staff or third-party subcontractor for whom you are responsible.

  3. If ticked, the person can be contacted with general enquiries about your organisation.

  4. If ticked, the person can be contacted with Accounts/Finance enquiries about your organisation.

  5. If ticked, the person can be contacted for work/purchase order enquiries for your organisation.

  6. If ticked, the person's details will be shared with the Onsite Safety Licensee (The organisation you are being subcontracted by).

  7. If ticked, the person will be able to access the Supplier Portal.

  8. If ticked, the person will be able to log into the Safety Portal.

  9. If ticked, the person will work onsite.


Rules

  1. If "Onsite Worker?" is ticked, "Safety Portal User?" must be ticked. You can tick "Safety Portal User?" and not be an onsite Worker.

  2. If "Safety Portal User?" is unticked, "Onsite Worker?" is also unticked.

  3. If "Safety Portal User?" OR "Onsite Worker?" is ticked, the "Share With {licence name}?" is automatically ticked.

  4. If "Share With {licence name}?" is unticked at any stage, both "Safety Portal User?" AND "Onsite Worker?" are automatically unticked (ie. if they're not shared, they cannot be a safety/worker contact).

Onboarding

On this screen, you will complete an induction for the Onsite Safety Licensee.

Required Documentation

On this screen, you will add compliance documents the Onsite Safety Licensee requires.

You must supply all documents that are marked as Mandatory. If you have a document that does not expire, enter an expiry date far in the future E.g. 11/11/2099.

If a document is optional and you are not going to supply it you can select Skip Document.

You can choose who can see the documents if you are working with several Onsite Safety Licensees.

Registration Complete

When you have completed the induction and added all of the mandatory compliance documents, you will see a screen similar to the one below.

You will now have to wait for the Onsite Licensee to contact you.

Requests for more information

While waiting for your onboarding request to be processed, you may receive email requests for additional information.

Approval

When you have been approved, you will receive an email advising you of the next steps you need to take.

Registering your workers

All the staff you listed will receive an email to register their details.

When they click on the Register link, they will be taken to the Onsite Safety portal, where they can enter their details.

Worker's Inductions and Compliance

Workers can complete their inductions and supply their compliance using the Onsite Eye app.

When workers finish registering, they will be automatically logged into Onsite Safety. They will see any requirements that have been given to them.

  1. This indicates the worker must supply some compliance information. They can either click on the link or the tile.

      When they click on the compliance items using the image-20241119-014123.png a new tab will open, and they can enter the details of the compliance item and upload a document.

  2. This indicates the worker must complete an induction. When they select the tile they will see their assigned inductions.

    When they click on the induction hyperlink they will be asked a series of questions. When they have answered the last question they will be able to submit the induction.

Different Perspectives in Onsite Safety

The person who registered the company for Onsite Safety has Management Access to the organisation. This allows them to add and remove staff. In the example below Paul logs into Onsite Safety. Firstly he sees the portal from his own Perspective (He sees the Compliance and Inductions assigned to him.)

To change his view to that of the company.

  1. Click on the down arrow next to the name.

  2. Click on the down arrow next to the name shown in My Perspective.

  3. Choose the company.

  4. Click Go

The Perspective will then change, and he can see all items relating to the Organisation.

Adding workers via the Supplier Portal (SupplyChain)

If you use the Supplier Portal with the Onsite Safety Licensee you can maintain your staff in the portal. To do this you must be a management contact for the company.

When you click on My Team, you will see a screen similar to the one below.

  1. Click Add Staff/Subcontractor.

  2. Enter their details.

  3. Click Save.

Removing Workers Via SupplyChain

From the My Team page click the Pencil icon on the line of the person you want to remove.

If you choose Disconnect the person will not be visible to the Onsite Safety licensee whose portal that you are logged into. They will be visible to any other Onsite Safety licensees that you have listed them with.

If you choose Delete the person will not be visible to any Onsite Safety licensees and will lose all access to the portals.

Adding Workers via Onsite Safety

When logged into Onsite Safety in the company perspective (See above), there is a tab called My Team.

When you click on it you will see all of your staff.

When you click on the Add Staff/Subcontractor button you can enter their details;

Removing Workers via Onsite Safety

From the My Team page of click on the Pencil icon of the person you want to remove.

If you choose Disconnect the person will not be visible to the Onsite Safety licensee whose portal that you are logged into. They will be visible to any other Onsite Safety licensees that you have listed them with.

If you choose Delete the person will not be visible to any Onsite Safety licensees and will lose all access to the portals.

Download and Log in to Onsite Eye

  • If you work onsite you must download and log in to the Onsite Eye mobile app, available from your device's App Store.

  • It is a requirement to be ready to present the app and prove your identity and safety compliance when working onsite.

  • Additionally, you may be able to access purchase orders and project documentation from within the app when you check in onsite.
