Overview
Perspective Platform 2023.4 provides a new way to bring suppliers into Onsite Safety, called Onboarding.
You will need to contact Insula to enable this functionality.
Starts the Invite process (Detailed below).
Search filter for a s[specific organisation.
Filters for the organisations to show based on their current position within the onboarding process.

Stages of Onboarding
The Onboarding process has three stages;
Inviting.
Registering.
Approval.
New roles
The following roles have been added;
Onsite Safety - Onboarding Management. Users with this role have access to the new Onboarding menu.
Onsite Safety - Onboarding Request Approver. Users with this role have access to the new Onboarding menu to approve requests.
Onsite Safety - System Administrators automatically have access to the new functionality.
Inviting
When Onboarding is enabled, the Register button on the login screen is removed. To add a contact to Onsite Safety they have to be invited.
When you press the Invite button, you are asked to enter an email address for the company.
When you click on the invite link, you will then see a dialog similar to the one below, you enter the details for the organisation that you are inviting.
The organisation will then be shown in the Onboarding screen with a registration stage of Invited.
Registering
When an organisation has been invited, they will receive an email with a link for them to register.
When the supplier clicks on the Register button, they will be taken to the Account Registration screen where they select the type of supplier that they are then they click on the Next button.
They will then enter details on several screens;
Register
Details of the person registering the business;
Business Profile
Details of the business;
Invite Contacts
Details of staff of the organisation.
If the person that the user is adding will visit sites they must have the Onsite Safety option ticked.
Onboarding
This section has the inductions assigned to the primary role that they have selected.
Required Documentation
This section is where they enter the compliance items that have been assigned to the role that the user selected;
When all items have been entered, the user will see a screen similar to the one below.
Submission
When the organisation has submitted their onboarding details they will appear in the Onboarding screen with a Registration Stage of Submitted.
When the user clicks on the Accept button, they will see a message;
Validating
The validating stage is where the licensee reviews the information that has been supplied. To review the information, the user clicks on the Organisation hyperlink.
The user can then view the details of the registration.
More Info
If, after reviewing the supplied information, the user decides more information is required, they can select the More Info action.
The user can then supply details on the additional information that is required.
An email will be sent to the person who registered with this information.
Provide Update
If the user wants to send an update to the new supplier on how their onboarding process is progressing, they can select the Provide Update action.
The user can then supply the update information.
An email will be sent to the person who registered with this information.
Validate
When you are satisfied with the information that has been supplied, click on the Validate button. You will see a message similar to the following;
Approval
The final stage of onboarding is to get approval from 4 business areas.
When pressed, the following dialog is displayed;
To approve, the user must either be a Safety Administrator of have the new role Onsite Safety - Onboarding Request Approver.
As each area marks the submission as approved a tick appears in the Onboarding table so it is easy to see which departments have approved the submission.
When all four areas of the business have approved the submission, the Approve button on the dialog becomes available;
The user will see the following dialog;
The supplier will then be sent an email advising that their submission was approved.
