This article gives an overview of the processes used in the allocation/deallocation of QR Codes. All staff responsible for the installation of QR Codes should familiarise themselves with this article.
Allocation of a QR Code to a site (ie. project or job) also geotags the project, updating the project's GPS coordinates to the QR Code's current location. Subsequent check-ins to the project/site can then be done via location and do not require scanning of the QR Code.
To be able to allocate QR Codes onsite the person doing so must have the Resource Allocator contact role.
Setting Up Your App
The app will be recording your location. You should check that your location services is turned on;
iOS
- Go to Settings > Privacy > Location Services.
- Make sure that Location Services is on.
Android
- Open your phone's Settings app.
- Tap Security & location. ...
- Tap Location.
- Make sure Location is on.
Ensure you select Allow.
The app will also require access to your camera to scan the QR codes and take photos. When you see the following requests you must select Allow.
Prior to a QR Code allocation site visit
Prior to visiting the site to place QR Code site signs you should confirm with a platform administrator that the project is available on the platform (otherwise you will not be able to allocate the QR Code to the project.)
When going to site to place site signs you should check that you have the necessary/correct QR Code signs and sufficient cable ties to secure them.

Allocating a QR Code Site Sign
When you are on the site that you wish to allocate a QR Code, follow these steps using the Onsite Eye mobile application.
- Select Check In.
- Scan the unallocated/new QR Code. When you do this you will see the following screen;
- Press Search Site button.
- Enter the site's reference number (eg. job number), partial address, or name. Matching search results will appear.
- Press on the required site.
- Verify the site details are correct and press Allocate QR Code. The QR Code will be allocated to the site, and you will be automatically checked in to the site.

Unallocating a QR Code
QR Code site signs are reusable, and should be unallocated from their current site when they are no longer needed on a the site and are physically removed. They then become available again to allocate to a new site when ready.
When a QR code has been unallocated it cannot be reallocated to a new site until the next calendar day.
To unallocate a QR Code from a site follow these steps using the Onsite Eye mobile application.
- Check in by scanning the QR code.
- Select Record Activity.
- Select the, Unallocate from Site, activity.
- Enter the date that the QR code should have been unallocated, if not now/today
- Click Done. The QR Code is no longer allocated to the site, and it can be reused and reallocated to a new/different site the next calendar day.
