Introduction
You need to contact Insula to turn on the Onboarding functionality for your Safety Portal.
The process of onboarding new suppliers to Safety has been simplified, allowing licensees to automatically assign inductions and compliance requirements to organisations registering on their Onsite Safety Portal.
After entering an email address the user is then asked to supply
The type of supplier that they are registering.
Select their primary activity.
Type of supplier
Two new platform roles are used to determine the inductions and compliance items that will get automatically assigned when a supplier goes through the onboarding process.
Platform - Supply Supplier - A supplier who supplies products but does not engage in any work on-site.
Platform - Install Supplier - A supplier who engages in work on-site but does not supply products.
When registering, the user can select the option that applies to them.
If the user selects Supply & Install, they will get the inductions and compliance requirements associated with both roles. Where there is a duplication in the requirements for compliance or an induction they will only have to do it once.
You can manage the compliance for the two new roles in the Compliance Requirements section.
Primary Activity
In addition to the roles for the organisation, it is also possible to define the primary activity roles for the contact that the organisation registers. Insula will work with you to set up the roles for automatic compliance.
Example
In the compliance screen, you can define the requirements for each role.
So for example if someone registers a bricklaying organisation and they are selected to be an Onsite Safety User.
They get the linked role of (Acme)bricklayer;
Inductions
Inductions have been enhanced to allow you to specify roles that the induction will automatically be allocated to. Refer to this article for more information on linking inductions to contact roles.
You can link multiple inductions to the new roles.
Onboarding
The Onboarding process is started by selecting Register.
The registration must take place from the licensees specific safety URL
e.g. https://acme-safety.pstpf.com.au
Selecting the type of supplier
The first thing the person doing the registration has to do is select whether the organisation they are registering is Supply Only, Install Only or Supply & Install. This will determine the basic compliance requirements.
In addition to this, they must also choose their Primary Role / Activity. This will be used to determine any additional compliance requirements. This role will be used to set the compliance for the people that are registered and given the Onsite Safety User role.
Register
On this screen, the user supplies basic information about their organisation.
Business Profile
On this screen, the user supplies more detailed information about their organisation.
Inviting Contacts
In this screen, the user supplies the names and contact details of all of the people within their organisation who will be working with the licensee.
For each person, the user should choose any of the roles that they hold within the organisation. As a minimum, they would select Staff and Safety
When the user clicks Next they will see a progress bar as the registration details are processed.
Onboarding
On this screen, the user will be led through the induction questions.
When the user gets to the last question, they will see the Submit Onboarding option.
Required Documentation
After the user has submitted their onboarding information, they can supply their compliance items.
The user can navigate between the compliance items using the hyperlinks
When the user has added the last document, they can submit them.
They will then see the following message.
Supplier Contact Registration
Each contact person listed will receive an email inviting them to register on the platform.
Processing Onboarding Requests
There is a new Administration menu option called Onboarding Requests. This shows all the onboarding requests submitted but not yet accepted or declined.
Click the link to see the inductions that were submitted.
Click the link to see the compliance items that were submitted. Note compliance items still need to be validated in the usual way.
Clicking Accept completes the Onboarding process.
Clicking Decline rejects the Onboarding request. NOTE the organisation will have to complete the whole process again if you Decline their submission.
