TFS Intefration Guide - Table of Contents

     

        

The Clients screen displays a list of clients from both TFS and MYOB. The screen is used to manually link existing TFS Clients with MYOB Customer Cards, or to exclude a TFS client from being integrated.

  • From the sidebar, select Clients.

The fields contained in the TFS Filter group are used to filter the results shown in the TFS Clients list.

Field

Description

Has Integration Link?

Filters the TFS Clients list based on any existing integration links.

Toggle: 

  • [All] (default): Displays all clients.
  • No: Displays clients without an integration link.
  • Yes: Displays clients with an integration link.

Integration Link

Filters the TFS Clients list based on the Integration Link details. This assists in matching a specific TFS client with a specific MYOB Customer Card.

The Integration Link field in TFS stores the Record ID field in MYOB.


Broker

Filters the TFS Clients list by Broker.

Context

Filters the TFS Clients list by Context.

The TFS Clients list displays a list of TFS clients based on the selected filter options. To refresh the TFS Clients list, click the Refresh button.

Modifying the TFS Integration Link Field

  1. Click the Refresh button to refresh the TFS Clients list.
  2. From the TFS Clients list, select a TFS client.
  3. Click the Edit button. The Client dialog will be displayed.
  4. Enter or edit the Integration Link field.

    Set the Integration Link field to N/A if the client should be excluded from integration with MYOB.

  5. Click the OK button.

The fields contained in the MYOB Filter group are used to filter the results shown in the MYOB Cards list.

Field

Description

MYOB DSN

Select the MYOB DSN to view the MYOB Customer Cards contained in the MYOB Company File.

MYOB Connection

A connection string used when connecting to MYOB.

Typically this field is left blank.

Card Identification

Filters the MYOB Cards list based on the Card Identification details. This assists in matching a MYOB client with a TFS client.

The Card Identification field in MYOB stores the Client Number from TFS.

Card Record ID

Filters the MYOB Cards list based on the Card Record ID details.

The Card Record ID field in MYOB matches the Integration Link number in TFS

The Card Record ID cannot be physically viewed from within the MYOB software.

The MYOB Cards list displays a list of MYOB Cards based on the selected filter options. This list will only populate if a MYOB ODBC DSN connection has been selected.

Procedures

 Manually Link a TFS Client with an Existing MYOB Customer Card - Click here to expand...

To manually link a TFS Client to an existing MYOB Customer Card, the following conditions apply:

  • The TFS Client to be linked is not currently linked to a MYOB Customer Card.
  • The TFS Client's Client Number does not currently appear in a MYOB Customer Card's Card Identification field.

To Manually Link a TFS Client with an Existing MYOB Customer Card

  1. From the TFS Client list, select a TFS client.
  2. From the MYOB Cards list, select a MYOB card.
  3. Click the Link Client and Card button. A message prompt will appear that informs on the success of the synchronise.

A history of all TFS Clients and MYOB Customer Cards that have been manually linked can be viewed on the Profiles screen by selecting the Type as MYOB Cards and selecting MYOB Cards - Manually Linked Clients and Cards from the Integration Profiles list.

If two TFS Clients (Client # 1 and Client # 2) are integrated to MYOB, these clients will have links to a matching MYOB Customer Card. In MYOB there is a feature called Combine Cards that is used to merge two Customer Cards into one. In the example, as one of the MYOB Customer Cards has been deleted, TFS Client #2 will have a link to a MYOB Customer Card that no longer exists and thus when TFS Integration is next performed, the TFS client with a non-existent link will be skipped. These skipped clients should have their TFS Integration Link set to N/A so they will be no longer be integrated. To modify the Integration Link, see Modifying the TFS Integration Link Field.
