Land Register and Reservation

The Land Reservation feature is designed to centrally track available land lots, reserving them for a specific client at the point of sale.

To do this, the details of the land are created and managed in the Land Management Module of Framework ECM, and then displayed in the Sales Advice Dialog in Framework Sales Advice Management.

Creating Available Land in ECM

For Land to be available to Reserve at point of sale, there are some elements that need to be in place:

  • The Responsible Party = Internal/Enterprise, indicating that it is not client land, but being made available through the builder.
  • Available for Sale = Yes.

These values can be set when creating the land or applied to existing land in the Land Module.

It is recommended that as much about the land that is known is recorded.

The details displayed for the land during the reservation process, so are worth considering, are:

  • Address
  • Estate
  • Frontage
  • Area.

The fields displayed on the Reservation tab are:

  • Address
  • Map Reference
  • Subdivision Complete dates
  • Title Release/Registration dates
  • Area
  • Frontage
  • Easement
  • DP Number
  • Folio
  • Volume
  • Estate & Stage
  • Municipality
  • Notes.


Reserving Land in Sales Advice

For the Land to be available to in Sales Advice, both Sales Advice Database and ECM Database ODBC connections must be set.

Sales Advice - Reservation Tab 

The standard Sales Advice dialog has a Reservation tab. This is where land can be reviewed, reserved or a reservation cancelled.

The Search Land dialog is launched from the Select Land button.

By using the search criteria, the land available for reservation, as set up in the Land Module of ECM, is displayed.

If the Include Reserved Land criteria is ticked, all the land matching the criteria is shown with current reservation detail.

To select, double-click the required row, or highlight and click OK.

The land will then be reserved to the sales advice client. 

The Reserved land will be displayed in the Sales Advice dialog Reservation tab, the Client tab (locking the detail), and in the Context Bar for that client.

It will also be displayed immediately in ECM and to any users who then search for available land.

A default of 14 days is allowed before expiry of the reservation.

Cancelling a Reservation in Framework Sales Advice

To cancel the reservation, click the Cancel Reservation button on the Reservation tab of the Sales Advice dialog.  This will immediately release the land and make it available again to other users.

The detail of the cancelled reservation will be recorded against the land in Framework ECM.

Managing Land Reservation in Framework ECM

There are two main screens for managing Land Reservation;

  •  Land Register
  •  Land Reservation History

Land Register

The Land Register screen can be used to review the land currently available, reserved, or already Completed and allocated to a client.

The displayed list is determined by the combinations selected for Search and Filter Criteria.

Sets an expiration date and Expired status against land that is Current (currently reserved) but the Expiry date has passed. 

The context bar will be updated with the selected land record.

Land Reservation History

The Land Reservation History screen shows all the reservation transactions against the selected Land record.

Cancelling a Reservation in Framework ECM

To cancel a Current or Expired land, use the Land Reservation History screen.

ButtonFunction

Changes the status of the selected Land reservation to Cancelled.  This allows the land to be available for selection by others. 

Edit the Land Reservation record. Depending on the status of the record, not all fields in the Land Reservation dialog will be available for edit.
Sets an expiration date and Expired status against land that is Current (currently reserved) but the Expiry date has passed. 

Expiry

Sets an expiration date and Expired status against land that is Current (currently reserved) but the Expiry date has passed. 

When using this function on the Land Register, you will be prompted to either expire the selected land, or to expire all currently reserved land records that meet the criteria.  On the Land Reservation History screen, the Expire will apply to the selected land only.

This does not make the land available for reservation again.  Only land that has no Reservation Status or is Cancelled is eligible for selection.

Reserve Status Overview

No Reserve statusNot yet selected for reservation, but available.
CurrentActively Reserved and not available for selection
CancelledExisting Reservation has been Cancelled, either in Framework Sales Advice or Framework ECM Land Module.  Available for selection.
ExpiredThe Reservation Expiry date was in the past and the Expire function has been used in the Framework ECM Land Module.
CompleteThe land was reserved by a prospect that has now been submitted/imported to Framework ECM.

New Client in Framework ECM

When a Sales Advice prospect is imported into ECM during the New Client process, the reserved land is brought through, locked as Enterprise Land.  

The reservation status is then set to Completed, and it is no longer available to the reservation process.
