Document Templates V2

The Document Template vV2 feature provides an easy and flexible way to manage document templates in Framework ECM.

The Document Template V2 screen is used to manage all templates that may be selected for documents in Framework ECM and Framework Sales Advice Management. Document templates provide a list of frequently used items from the VPB. Using document templates drastically reduces the time it takes to produce sales quotation, tender and variation documents.

The screen features a tree structure on the left and two lists to the right. This structure enables users to create document groups and sub-groups as required. Groups must be created before master templates can be added to Framework ECM.

A master template provides the ability to manage many templates that have the same content, but are linked to different version of the VPB. This provides a very quick method of creating new templates when a VPB has been updated.

The Document Templates (by version) drop-down list display templates for a selected master template. The document templates in the list have identical content, but each one has been created for a different version of the VPB.



Creating A Document Template Group

1. Select the Document Template Groups list. A shadow will appear around the list to indicate it is selected.

2. Click New. The Document Template Group dialog will be displayed.

3. Enter the details.

4. Click OK. The dialog will close and a new document template group will be created.


Creating A Master Template

1. Select the Master Templates list. A shadow will appear around the list to indicate it is selected.

2. Click New. The Master Template dialog will be displayed.

3. Enter the details.

4. Click OK. The dialog will close and a new master template will be created.

  

Selecting A VPB Version

The Select VPB Version drop-down list is used to view a list of document templates that have been created for the selected VPB version.

1. From the Version drop-down list, select the required VPB version.  

Note: The Document Templates (by version) list will be updated.

 

 

Creating A Blank Document Template

1. From the Document Templates Groups list, select the required group.

2. From the Master Template list, selected the required template.

3. From the Version drop-down list, select the required VPB version. The Document Templates (by Version) list

will be updated.

4. Select the Document Templates (by version) list. A shadow will appear around the list to indicate it is selected.

5. Click New. The Creating New Document confirmation prompt will appear.

6. Click No to create a blank document. The General tab of the Document Template Version dialog will be

displayed.


Note: Each document template that is copied contains the same content, with the exception of the VPB version. This enables the ability to quickly update a template when a version of the VPB has been updated.


7. Enter the details.

8. Select the Items tab.


9. Select the Groups list. A shadow will appear around the list to indicate it is selected.

10. Click the New toolbar icon. The Document Group dialog will be displayed.

11. Enter the details.

12. From the Groups list, select the required group.

13. Click the Items list. A shadow will appear around the list to indicate it is selected.

14. Click the New toolbar icon. The Item dialog will be displayed.

15. Enter the details.

16. Click OK. The Add New Document Item confirmation prompt will appear.

17. Click Yes to add another item to the template.

OR

Click No to finish. The dialog will close

18. Click OK. The dialog will close.

 


Copying A Document Template

1. From the Document Templates Groups list, select the required group.

2. From the Master Template list, selected the required template.

3. From the Version drop-down list, select the required VPB version. The Document Templates (by Version) list will be updated.

4. Select the Document Templates (by version) list. A shadow will appear around the list to indicate it is selected.

5. Click New. The Creating New Document confirmation prompt will appear.

6. Click Yes to copy the selected document. The General tab of the Document Template Version dialog will be displayed.

Note: Each document template that is copied contains the same content, with the exception of the VPB version. This enables the ability to quickly update a template when a version of the VPB has been updated.

7. Enter the details.

8. Select the Items tab.

9. Select the Groups list. A shadow will appear around the list to indicate it is selected.

10. Click the New toolbar icon. The Document Group dialog will be displayed.

11. Enter the details.

Continue adding groups until all required groups have been added to the list.


12. From the Groups list, select the required group.

13. Click the Items list. A shadow will appear around the list to indicate it is selected.

14. Click the New toolbar icon. The Item dialog will be displayed.

15. Enter the details.

16. Click OK. The Add New Document Item confirmation prompt will appear.

17. Click Yes to add another item to the template.

OR

Click No to finish. The dialog will close

Continue adding items until all required items have been added for each of the groups.


18. Click OK. The dialog will close.

 

 

Changing The Document Status To Final

Note: A document template can only be used in Framework ECM when it has a Final status.


1. From the Document Template (by Version) list, select the required document template.

2. Click Edit. The General tab of the Document Template Version dialog will be displayed.

3. Click the Status popup button. The Select Document Status dialog will be displayed.

4. Select Final.

5. Click OK. The dialog will close and the document template version will be modified.

6. Click OK. The dialog will close.
