A new specification document is created through the Specifications list. When there is an existing specification document in the list, users can either base their new document on a previous one or create an entirely new document from a template.
The specification template includes all the available choices for selection.
The specification status is used to determine whether the document should be edited (draft) or not (final).
If creating a new document based on the previous one, the details contained in that document, including previous selections, will be automatically copied. The new specification document will be added to the top of the list, and the previous document will be given the status of superseded.
The most recent specification document is considered the current one. A superseded document cannot be modified or deleted.
Procedures
Switching To The Colour Selection History Screen
To open the Colour Selection History screen, click Colour.
Importing A Specification Document
Click Import. The Job tab of the Search dialog will be displayed.
Search for a specification document.
Click OK. The dialog will close and a specification document will be imported.
Creating A Blank Specification Document
Click New. The Do you want to create a new specification based on the last one? confirmation prompt will appear.
Click No. The General tab of the Specification History dialog will be displayed.
Enter the details.
Select the Templates tab.
Select the appropriate template.
Click OK. The dialog will close and a new blank specification document will be created.
Copying A Previous Specification Document
Click New. The Do you want to create a new specification based on the last one? confirmation prompt will appear.
Click Yes to copy the last specification. The specification document will be copied and displayed in the Specifications list.
Once a specification has been copied, to edit it highlight the specification and click Edit.
