Integrated Email

TFS 13 introduced a new email solution where all emails sent from TFS are now sent via the Insula Perspective Gateway solution.
A client comment is created with the contents of the email. Each user can set up their own signature within the system.

Setting up your signature

Users can create their email signature in the new User Options option under the File drop-down menu.

You cannot cut and paste your standard email signature as it will not translate properly.

The toolbar for the email signature has the following options;

	Description
	Perform spellcheck on the signature.
	Copy selected text to the clipboard.
	Cut selected text to the clipboard.
	Paste the contents of the clipboard.
	Undo the last change made.
	Redo the last undone change made.
	Apply Bold formatting.
	Apply Italic formatting.
	Apply underline formatting.
	Apply Strikethrough formatting.
	Opens the colour selector.
	Apply an indent.
	Apply an outdent.
	Left justify the text.
	Centre the text.
	Right justify the text
	Insert numbering.
	Insert bullets.
	Insert a link.
	Insert a horizontal line.
	Insert a picture.
	Insert a hyperlink to an image to include in your signature. This option is useful to keep the size of your email below the maximum 5MB.

You can create different signatures for each Context that you have. You can click on the Apply All Contexts button to use the same signature across all Contexts.

Emailing from the Communicate screen

When you click on the Communicate button, in the Client Contacts screen, you will see as before an email option.

However, when you click in the radio button the all-new Email dialog box will open.

Selecting the To/Cc/Bcc options will show you the available email contacts

You can then click on the relevant contact and then select either To, Cc or Bcc to add them to the email distribution list. When you have finished making your selections click on the Add Recipients.

You can add attachments to your emails but they cannot exceed a size of 5MB. When you exceed this The Email Size display will turn red indicating that the attachments are too big

If you click on the Send option whilst this is red you will see the following message;

Emailing from Smartlodge

When you use Smartlodge to either email clients quotes or send financiers applications via email the process now uses Gateway.

Emailing from Launch Email

All screens that have the Launch Email icon now use the Perspective Gateway Email solution.

Client Comment for Email

When you send an email it creates a Client level comment with the email information;

Emailing from Smart Campaign

If you do an email campaign through Smart Campaign all emails will be sent via the Gateway. A comment is not made in the CRM section for this type of email though a record of it is stored in the contacts Marketing History.
