A Document Site is a physical location where documents originate and are typically stored on a Server/PC. The most common example is an office network LAN, where all documents are saved to shared server locations.

Knowing where a user resides when using the DMS (iei.e. their site) and knowing which sites are storing copies of documents, many document applications become possible.

Document Access

It is possible to make Documents accessible in two distinct and important ways, either:

  • through the DMS software, by browsing or searching for desired documents, or

  • directly via the LAN, where users can have read-only access to files directly, without using the DMS software

LAN Access to Documents

Accessing documents via the LAN is supported for a number of several important reasons:

  • it can still be the fastest way to retrieve files if you know what you're looking for, and where it resides

  • it makes the transition from traditional manual storage of files to the DMS an easier process for users to understand

  • it supports integration with other software applications that are expecting to read files from a known disk location

  • it allows network-level security to be used to provide an additional control over which users have permission to access files.
